## 1. Business Overview

APEX CRM will support the sales organization of Vision, a United States based logistics company operating primarily across North America. The application will help the business manage prospects, customers, quotes, orders, payments, and day-to-day sales activity across headquarters, regions, branches, and individual sales representatives.

The application should give leaders a reliable view of pipeline health, sales performance, customer activity, and order progress. It should also help sales teams work in a structured way, follow up on time, and maintain a complete history of key customer and sales interactions.

## 2. Business Goals

- Provide one place to manage the full sales journey from first lead to payment collection.
- Improve lead conversion, deal progression, and follow-up discipline across all regions and branches.
- Give leadership clear drill-down reporting from company level to region, branch, and individual sales representative.
- Strengthen approval control, data quality, and auditability for important commercial decisions.
- Maintain a consistent customer view that includes contacts, opportunities, quotes, orders, bookings, invoices, payments, and interactions.

## 3. User Roles

### Chief Sales Officer

The Chief Sales Officer should be able to view company-wide sales performance, compare regions, review pipeline strength, monitor forecast accuracy, and drill down to branch and sales representative level.

### Regional Vice President

Regional Vice Presidents should be able to view the performance of all branches in their region, review branch pipeline and conversion trends, approve high-value commercial transactions when required, and monitor team follow-up discipline.

### Branch Sales Manager

Branch Sales Managers should be able to view their branch performance, assign and reassign work, coach sales representatives, approve transactions within their authority, and track overdue leads, opportunities, follow-ups, and payments.

### Sales Representative

Sales Representatives should be able to manage their own leads, accounts, contacts, opportunities, quotes, customers, activities, and sales transactions. They should be able to update progress, record interactions, schedule follow-ups, and view their own targets and results.

### Administrator

Administrators should be able to maintain application setup, reference values, business rules, thresholds, access rules, and operational data support pages.

## 4. Dashboards and Reporting

The application should provide dashboards tailored to each role. Dashboards should present summary information first and allow drill-down to supporting records.

Key dashboard measures should include:

- lead volume by source, branch, owner, and status;
- lead conversion rate;
- opportunity count and value by stage;
- stage aging and time spent in each opportunity stage;
- quote volume, quote acceptance rate, and quote turnaround time;
- average deal size;
- won versus lost opportunities, including reasons;
- order value, invoice value, collections, and overdue payments;
- individual and team target versus actual performance;
- overdue tasks, meetings, approvals, quotes, deliveries, and payment follow-ups.

## 5. Accounts and Contacts

The application should maintain a list of prospect and customer organizations. Each organization record should capture the company name, website, location, industry, branch alignment, account owner, and current business relationship status.

Each organization may have multiple contacts. Contact records should capture name, job title, email address, phone number, preferred communication details, and role in the buying process where relevant.

Users should be able to:

- view all contacts related to an organization;
- mark key contacts such as decision maker, influencer, billing contact, or operational contact;
- search and filter organizations and contacts by branch, region, owner, location, industry, and recent activity;
- prevent or flag likely duplicate organizations and contacts.

## 6. Lead Management

The application should support the capture and qualification of leads from sources such as events, marketing campaigns, paid advertisements, social media, direct walk-ins, website enquiries, online enquiries, and outbound sales efforts.

Each lead should capture:

- lead name or subject;
- associated organization and primary contact where known;
- lead source;
- branch and sales owner;
- location;
- estimated budget or expected commercial potential;
- lead rating such as hot, warm, or cold;
- lead status such as new, in progress, converted, or disqualified;
- notes describing the need or opportunity.

Lead management should support:

- assignment and reassignment to sales representatives;
- filtering by date, branch, owner, source, rating, and status;
- lead qualification notes and next steps;
- capture of disqualification reasons;
- conversion of a qualified lead into an opportunity without losing history;
- a complete change history for important lead updates.

## 7. Opportunity Management

The application should help the business manage opportunities through a defined sales cycle. The standard lifecycle should include New Opportunity, Qualified, Quote Proposed, Negotiation, Closed Won, and Closed Lost. The business should be able to refine stage names over time without changing the overall process.

Each opportunity should capture:

- opportunity name;
- related organization and primary contact;
- owner;
- expected value;
- expected close date;
- current stage;
- stage entry date;
- probability or confidence level;
- products or services of interest where known;
- next action and next review date;
- supporting notes.

Opportunity management should support:

- full stage history with the date and user responsible for each change;
- full audit history for important field changes, not only stage changes;
- automatic grouping of opportunities into low, medium, and high value bands based on business-defined thresholds;
- capture of win reasons and loss reasons;
- visibility of stakeholders involved in the deal, including decision makers and influencers;
- reminders for stale or overdue opportunities;
- conversion of won opportunities into quotes, customers, and downstream transactions as required.

## 8. Quote Management

The application should support a formal quoting process before order confirmation when a commercial proposal is required.

Each quote should capture:

- quote number;
- related opportunity, customer, and contact;
- quote owner;
- quote date and expiry date;
- quote status;
- line items with product or service, quantity, rate, discount, taxes, and net amount;
- commercial terms and special notes.

Quote management should support:

- creation of one or more quotes for an opportunity;
- revision tracking so users can see quote versions and key changes;
- approval of exceptional discounts or terms when required;
- customer acceptance or rejection recording;
- conversion of an accepted quote into an order;
- direct order creation without a quote only where the business allows it.

## 9. Customer Management

Once business is won, the application should maintain an active customer record that provides a complete commercial view of that customer relationship.

Each customer should include:

- linked organization and related contacts;
- industry;
- website;
- billing and shipping details;
- branch and region alignment;
- account owner or relationship owner;
- customer status;
- service or relationship priority.

Users should be able to view a single customer timeline that includes:

The application should help users manage daily sales work, not just store records.

Users should be able to log and manage:

- calls;

Activities and follow-ups should support:

- linking to the relevant lead, opportunity, account, contact, customer, quote, or order;
- assignment to a user;
- due date and time;
- completion status;
- outcome or summary;
- reminders and overdue views;
- visibility on role-based dashboards.

## 11. Orders, Bookings, Invoices, and Payments

The application should support the transition from sale to execution and collection.

### Orders

Each order should capture the customer, sales representative, order date, delivery date, status, total commercial value, and approval status where applicable.

### Bookings

Each order must contain one or more booking items. Booking items should capture the product or service, product type, quantity, price, discount, and net amount. The system should maintain a history of changes to booking details.

### Invoices

Users should be able to generate invoices from confirmed orders. Invoices should include customer details, invoice date, order summary, taxes, total amount, and invoice status.

### Payments

Users should be able to record payments against invoices and view the payment position for each order and customer. Payment records should capture amount, date, payment mode, payment status, and reference details.

The system should support:

- multiple bookings under one order;
- one or more invoices where the business process requires it;
- one or more payments against an invoice;
- visibility of pending, partially paid, paid, and overdue amounts;
- collection follow-up tracking.

## 12. Approvals

The application should support approval workflows for commercial transactions that exceed business limits.

Approval rules should support:

- configurable value thresholds;
- branch-level and regional-level approval authority;
- routing to the correct approver based on business rules;
- approval, rejection, return for correction, and escalation outcomes;
- a visible approval history showing who acted, when, and why.

## 13. Data Quality and Governance

The application should support strong record quality and accountability.

The business expects:

- a clear ownership model for leads, opportunities, customers, and transactions;
- role-based access so users only see or maintain records relevant to their responsibilities;
- prevention or identification of duplicate organizations, contacts, and customers;
- controlled business lists such as lead sources, statuses, priorities, payment modes, and approval outcomes;
- an audit trail for significant changes to leads, opportunities, customers, bookings, approvals, and financial records.

## 14. Business Rules

- One organization may have many contacts.
- A qualified lead may become an opportunity.
- A won opportunity may result in a customer record and commercial transaction records.
- An opportunity must retain stage history and key field change history.
- An accepted quote should normally lead to an order, unless the business permits direct order creation.
- Every order must contain at least one booking item.
- Orders above the configured commercial threshold must be approved before confirmation.
- Payments must be traceable to the commercial transaction they settle.
- Closed lost and disqualified records must capture a reason.

The solution will be considered successful when the business can:
